Website Privacy Notice
Last updated: 28 July 2026
Who I am
Susannah Ross Therapy is the private practice of Susannah Ross, a psychodynamic counsellor and psychotherapist working with adults in Bristol and online. I am responsible for the personal information collected through this website. This notice explains how I use information when you visit the site or contact me.
Information I collect through this website
When you contact me through the website, by email or by telephone, I may collect your name, contact details, location, availability and brief information about what you are seeking help with. Please keep your message brief and avoid including detailed medical or highly sensitive information at this stage. My website provider may also collect limited technical information, such as your IP address, device type and pages visited, to help operate and protect the website.
How I use your information
I use your information to respond to enquiries, assess whether my service may be suitable, arrange consultations and provide information about my practice. I may also use it to keep appropriate records, protect the website, meet my legal and professional responsibilities, and manage any complaints or legal matters. I do not sell your information or use it for unrelated marketing.
Lawful bases for using your information
Under UK data-protection law, I must have a lawful basis for processing personal information.
Enquiries about therapy
Where you contact me with a view to arranging therapy, I normally process your ordinary personal information because it is necessary to take steps at your request before potentially entering into a therapeutic agreement.
General enquiries and Website administration
I may use your information where necessary to respond to enquiries, run my practice, keep the website secure and protect my legal rights. I will only do this where my interests do not override your privacy rights.
Legal requirements
I may process information where this is necessary to comply with a legal obligation.
Sensitive personal information
Therapy involves the use of sensitive personal information, including information about your mental and physical health, relationships and personal experiences. I use this information because it is necessary to assess your needs and provide counselling or psychotherapy. This is covered by the health and social care condition under UK data-protection law, and I am bound by professional duties of confidentiality. In limited circumstances, I may also use or disclose relevant information where this is necessary and lawful, for example, to address a safeguarding concern, respond to a serious emergency or establish or defend a legal claim.
Who may receive your information
I do not routinely share website enquiries with other people. My website and contact form are provided by Hostinger, and I use Microsoft Outlook for professional email. These providers may process personal information on my behalf as part of delivering their services. Where necessary and lawful, limited information may also be shared with my IT support provider, professional insurer, legal or professional advisers, regulatory bodies, courts, or emergency and safeguarding services. I will only share information that is reasonably necessary for the relevant purpose.
International processing
Hostinger, Microsoft and other service providers may store or process information outside the UK. Where this happens, I take reasonable steps to ensure that your information remains protected in accordance with UK data-protection law.
How long I keep website enquiries
If your enquiry does not lead to therapy, I will normally keep it for up to six months after our last contact and then delete it securely. If you become a client, relevant information may be added to your confidential client record and kept in line with my Client Privacy Notice. Technical records and backups are kept only for as long as needed to operate and protect the website.
Security
I take reasonable steps to keep your personal information secure and limit access to it. However, no website or email system is completely secure. Please keep contact-form messages brief and avoid sending detailed clinical information, identity documents or anything unnecessary for your initial enquiry.
Cookies and website analytics
This website does not currently use advertising or tracking cookies. Hostinger may collect limited technical information needed to operate, secure and monitor the website. If I add analytics or other optional cookies in future, I will update this notice and provide appropriate cookie controls.
Third party websites
My website may contain links to other websites, including professional bodies, therapy-room providers or external services. I am not responsible for how those organisations process personal information. You should read the privacy notice of the relevant organisation before submitting information to it.
Information relating to children
My private practice is for adults aged 18 and over. This website is not intended to collect information directly from children. Anyone under 18 should not submit personal or sensitive information through the contact form.
Your data-protection rights
You may have the right to access, correct, delete or restrict the use of your personal information, and to object to certain types of processing. These rights may be limited in some circumstances, such as where I need to keep information for legal or professional reasons. To make a request, contact me at srosspsychotherapy@outlook.com. I may need to confirm your identity before responding.
